Planing, delivery and management of the 2025 INNODAYS and INNOBARES event series

Engaging and raising the visibility of the innovation ecosystem of the Fundación para el Conocimiento de la Comunidad de Madrid through 10 strategic events.

DESCRIPTION

The Innodays and Innobares project is a strategic initiative promoted by the Fundación para el Conocimiento madri+d to engage and strengthen Madrid’s innovation ecosystem across the fields of technology, research and knowledge. The objective was to deliver a new series of events covering a range of topics, designed to bring together corporations, companies, organisations and entrepreneurs from across the region.

Cink Venturing was responsible for the design, end-to-end production and communication of 10 strategic events: five sector-specific events known as “Innodays” and five cross-sector after-work events called “Innobares”.

Each event was designed to address relevant, high-value topics for the region, ranging from digital health to Artificial Intelligence and sustainability.

OPPORTUNITY

Madrid’s innovation ecosystem required dedicated spaces to:

  • Strengthen collaboration between the different stakeholders within the regional R&D&I ecosystem, including startups, companies, universities and institutions.
  • Foster open innovation and promote science-based technology entrepreneurship.
  • Raise the visibility of Madrid-based talent in strategic sectors such as smart mobility, biotechnology, GovTech and FinTech.
  • Position Madrid as a leading national and international hub for applied science and technology with tangible impact.

Against this backdrop, this new edition of Innodays and Innobares sought to build on the approach established in previous editions while going further in terms of both the topics addressed and the delivery of the events.

METHODOLOGY

An agile methodology structured into different phases was implemented to ensure the quality and impact of each event:

  1. Phase 1. Concept and Theme Development: following meetings with the client, the key themes for all activities and events were established. From there, specific approaches were defined for each event, leading speakers were selected and venues aligned with each theme were identified, ranging from institutional venues to more informal settings for the Innobares.
  2. Phase 2. Planning and Multichannel Communication: during the development of the events, a plan was established based on the different channels to be used by both the Foundation and Cink, with the aim of reaching the largest possible number of people interested in the events.
    Profiles on platforms such as Eventbrite and Acumbamail were optimised; a differentiated visual identity was created, using cool tones for Innodays and warm tones for Innobares; and a communications plan was established across social media channels (LinkedIn, X and Instagram) and the press.
  3. Phase 3. Delivery and End-to-End Event Coverage: during the delivery of the 10 events, all scheduled actions and coordinated activities previously established in the General Communication Plan were implemented.
    At each event, Cink managed all on-site logistics, photography and video coverage, as well as live streaming for the Innodays.
  4. Phase 4. Evaluation and Continuous Improvement: at the end of each event, an analysis process was carried out through satisfaction surveys and the collection of metrics to inform the impact reports. The objective was to continuously improve the programme and implement changes and updates according to the needs of each event.

Following the completion of all 10 events, a final document was also delivered to the client containing data, areas for improvement, recommendations and updates.

IMPACT

The 2025 event series exceeded initial expectations, achieving tangible results in terms of attendance and engagement:

  • Strong participation: more than 1,100 registrations and almost 600 in-person attendees across all events.
  • Digital reach: 68 social media posts generating more than 20,000 impressions.
  • Database management: more than 36,500 emails were sent, achieving open rates of up to 49%.
  • Content quality: 88 speakers and experts from major corporations, startups and public-sector organisations took part, creating high-quality events of significant interest to Madrid’s innovation ecosystem.
  • Operational excellence: attendees gave the Innodays an average rating of 9.4/10 and the Innobares an average rating of 9.1/10.

The programme therefore not only achieved its ecosystem engagement objectives, but also consolidated the Fundación madri+d’s role as a key connecting hub between science, business and society in the Community of Madrid.
